How we collect, use, and protect your personal and health information.

These terms explain how and when you pay for treatment at House of Rehab Physiotherapy, what we do with your card details, and what happens if you need to cancel. They sit alongside our Privacy Policy and the Payment Authority you sign on our Consent Form.

1. Why we take payment in two parts

Whether your treatment is funded by ACC or is private is often not clear until a physiotherapist has assessed you. Both involve a payment from you — the ACC contribution is lower than a private fee, but it is not nil — and we cannot know which applies before your first appointment.

Rather than guess, we take a deposit when you book and charge the balance once we know which applies. That way you are never quoted one figure and charged another.

2. The deposit

When you book, we take a deposit of $[DEPOSIT — Patrick to confirm] to hold your appointment. It is applied in full to the cost of your treatment. It is not an additional fee.

3. When we charge the balance

After your appointment, once we have established whether your treatment is ACC-funded or private, we charge any remaining balance to the same card and email you an itemised receipt showing what was charged and why.

  • If the deposit covers the full amount, nothing further is charged.
  • If the deposit is more than you owe, we refund the difference.
  • If a charge would be more than $[LIMIT — Patrick to confirm], we contact you first rather than charging automatically.

4. Your card details

Your card is stored securely by our payment provider. House of Rehab never sees or stores your full card number. We hold only a secure token, the card type, and the last four digits, so that we can charge the balance and issue refunds.

You can withdraw your payment authority at any time by telling us, and pay in clinic instead. Withdrawing it does not affect your access to care.

5. If you would rather not store a card

Tell us when you book. We will take payment in clinic instead, by EFTPOS, credit card or bank transfer. Storing a card is a convenience, not a condition of treatment.

6. Cancellations and missed appointments

7. Refunds

Where a refund is due — because your deposit exceeded the final amount, or because a charge was made in error — we process it to the original card. Refunds typically reach your account within [TIMEFRAME — Patrick to confirm] business days, depending on your bank.

8. If a payment fails

If a charge is declined, we will email you a secure payment link so you can settle it yourself. We will contact you directly if it remains unpaid. We will not repeatedly attempt to charge a card that has declined.

9. Questions or disputes

If you think a charge is wrong, contact us and we will investigate and correct it. Nothing in these terms limits your rights under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986.
